SNUGGLETOWN! MEETING MINUTES May 20, 2004 Attendees: Sam Nico Bob Ellie Aaron Arthur Brian Aline Glen Marcia Charisse Edie Agenda Items *things actually covered What constitutes appropriate contribution to the community before and/or during BM event? *Clarify job descriptions *Finances *Creative/Art projects (allocate 15 mins. every meeting) Realistic expectations *Structures *Art space - connecting with the domes Monitors for events *Events and gifting ideas *Power needs and rentals Art Space and other creative ideas: Glen reviewed ideas presented at last meeting...namely: Project light show (on ceiling inside the two domes) of moving yantras along with audio of mantras (om) to run continuously. He will provide an oracle for center of each dome. We will have a visually appealing entrance to capture attention like an arch or tunnel that leads into the domes. Charisse volunteered to decorate nipples on the dome bobbies. Glen tossed out another idea...the Marilyn Monroe Crotch Cooler...2 blowers mounted under a grate that activates when someone passes over it. That transformed into ideas of hanging cylindrical fabric structures or balls or stars (in keeping with the BM theme). A question was posed: How can we go out onto the Playa assuming/acting the part of our town jobs? That led to a discussion of how to promote Snuggletown! on the playa. Aaron showed a necklace idea from last year. We could organize a giant record-breaking group hug. Glen said he and Tito had discussed splitting the cost of a button machine. It would be $60 plus cost of blanks. Charisse wanted to decorate them with faux fur. This spawned more ideas...using fabric to make cuffs, arm bands, neck ties, scarves and whether we could print our location and other info. on them. It was decided we will keep thinking of ideas and discuss at next meeting. Glen was tasked with preparing pricing on 500 buttons (including blanks, printing, machine etc.) and perhaps costs to include bunnies and bears with ear tags. Marcia showed the Playa Sole Saver gifts she made last year. They are round salve bars made of all natural beeswax, coconut oil and shea butter which prevents playa burn/chapped feet by sealing in moisture. We could offer foot bathing/massage and then apply Sole Saver. The healing touch fits with ST's mission. There was agreement to proceed on this. Job Descriptions: Aline will be out of the country during most of our planning so she needs a job on the playa. She will be the Playa Volunteer Coordinator. Sam will be the Pre-Playa Volunteer Coordinator. Guidelines are to keep balance in mind, making sure people have assigned jobs and that they know it's their responsibility to find someone to do their job if they can't do it. We need to develop other job descriptions as we go along and/or through a specific committee for this. Rentals and Power Needs: Camp Lights (outside flood lights) Lasers (2) and small Christmas lights DJ Booth 2 generators - need 8 amps for the oracles 1 truck for structures and lots of gear (Francois can pull the trailer with bikes etc.) 1 stove that heats up fast and 1 Coleman type PVC pipes for domes and kitchen tent Collapsible kitchen counter, tables, cooking pots, coolers Everyone bring your own chair and utensils. We need to develop supply and equipment lists (include safe sex items). Each task group will make a list of their needs. Glen will bring truck rental costs to next meeting. (It was mentioned that we could buy a used Tri-Met bus on EBay for $2000 which would pay for itself in 2-5 yrs.) Finances: How much do we have now? Arthur has been working up preliminary figures. FNL = $800; Love Tribe = at least $300; Explorers doesn't have discretionary funds, however, Edie will check on this. We will need to raise funds before BM. May need to have a fundraiser party. Estimates: $600 gas for rental truck $300+ for Francois; $200 each for larger domes = $400 $150 for small dome ? gas for generators Other items we need to plan for: PVC pipe Water storage drums (discuss water needs at next meeting) Kitchen supplies (food, stoves/gas, tables, food storage/coolers, dishwashing) ****Decided that individuals will cover cost of their personal needs, transportation gasoline and food**** Everyone will come to next meeting with a brainstormed list and approx. costs for their task areas. Structures Bob showed a photo of the smaller dome and discussed preliminary costs for other two. He will come to next meeting with a materials list for domes. Aaron can then get cost estimate from his Dad who wholesales building materials. Bob also showed a drawing of the Entrance Archway. It looks great. Will be approx. 4 feet deep with Snuggletown! letters across the top. Glen suggested cutting out the letters and putting lights behind a facade so they shine through. He also has one laser we can use; need another. Structure needs to be wind resistant. Brian and Glen will discuss structural ideas with Jerry Jurdan aka Mr. Fixit (who was out of town for this meeting but will be joining us). Kitchen structure will be approx. 6-7 ft. high; 15 ft. wide x 40 ft. long. Aaron will come to next meeting with materials list. Next Meeting: May 31st (Monday, Memorial Day.) Be there at 6:45 pm, ready to start on time at 7 pm. Submit any agenda items to Aaron prior to this meeting. Aaron will facilitate meeting again. We'll begin and end with an opening circle. ***Reminder*** Please brainstorm lists for as many things as you can think of and ideally, e-mail them to Aaron for compilation prior to this meeting. Otherwise, bring whatever you have to the meeting.
